How it works

Three steps. No upload.

The whole conversion runs in your browser tab, so your statement never reaches a server.

  1. 01

    Drop the PDF

The statement for the bank account you want to fill in Xero. Old statements from before the feed started work too.

  2. 02

Check the dates and the balance

Choose the same date style as your Xero organisation, and fix anything the review screen flags.

  3. 03

    Download and import

In Xero, open the bank account and import the file as a statement, then reconcile as usual.

The balance check

Find the gap before you reconcile

In Xero a missing row shows up at reconciliation: the statement balance in Xero stops matching your bank’s. By then you’re hunting through a month of lines.

We run the check first. Every row is added up and compared with the opening and closing balances printed on the statement, so “Off by 12.40” appears on the review screen with the page to look at, not in Xero. The Xero file itself has no balance column, because Xero doesn’t take one.

The file

Five columns, one row per transaction

This is a real export of a made-up statement. The amount is signed, with money out negative, which is how Xero reads the Amount column.

FAQ

Bank statement to Xero, answered

Can Xero import a PDF bank statement directly?
No. Xero’s bank statement import takes CSV, OFX and a few similar file types, not PDF. This page turns the PDF into a CSV that fits that import.
Which should I use, Xero CSV or OFX?
Either imports. The CSV is one you can open and edit first, and it keeps the Payee that Xero uses for bank rules. The OFX carries transaction IDs, which helps avoid duplicates if you import the same period twice.
Can I fill in months from before my bank feed started?
Yes, that is one of the most common uses. Convert each old statement and import them one after another. Import them in date order, and make sure two statements don’t cover the same days.
Which date format does Xero want?
The one your organisation is set to, which is usually DD/MM/YYYY for UK and Australian users and MM/DD/YYYY for US users. Pick it in the export options. YYYY-MM-DD is the safe choice if you aren’t sure.
Does it read UK and Australian statements?
Yes. Day-first dates, columns such as “Money out” and “Money in”, and balances marked CR or DR are all read. Bank pages show what the layouts look like for major UK, Canadian and Australian banks.
Is my statement uploaded?
No. A text PDF is read in your browser and the CSV is built there. It keeps working offline after your first visit.
