PDF to QBO converter

Drop a PDF bank or credit card statement and download a QBO file that QuickBooks Online and QuickBooks Desktop import like a bank download. The statement is read in your browser and checked against its own balances first.

Exports to Excel · CSV · QBO · OFX · QFX · Xero · Tally

How it works

Three steps. No upload.

The whole conversion runs in your browser tab, so your statement never reaches a server.

  1. 01

    Drop the PDF

Bank or credit card statement. Credit cards are written as card statements so QuickBooks can file them in a credit card account.

  2. 02

    Review, then set the account

Fix any flagged row, then choose the account type, an optional account number and a bank ID. The defaults import fine.

  3. 03

    Download the .qbo

Upload it in QuickBooks Online or open it in QuickBooks Desktop. Re-importing the same file adds nothing twice.

The balance check

QuickBooks won’t tell you a row is missing

A QBO file is a list of transactions. QuickBooks imports what’s in it and has no statement to compare against, so a dropped row only turns up later, when you reconcile and the account is out by an odd amount.

We run that check before the file exists. Every row is added up and compared with the statement’s opening and closing balances. If it says Off by an amount, fix it on the review screen, then download. The closing balance printed on the statement is also written into the file as its ledger balance.

The file

OFX 1.02 with an Intuit bank ID

A QBO file is plain text, so you can open it and read it. This is a real export of a made-up statement. The sign-on block carries the bank ID, INTU.BID, and each row is one STMTTRN.

Bank ID
INTU.BID defaults to 3000, which QuickBooks accepts for any bank. Change it only if you want a specific bank’s name to show.
Stable IDs
Each FITID is built from the date, amount and description, so the same statement always produces the same IDs. QuickBooks uses them to skip rows it already has.
Names
Descriptions are cut to 32 characters in NAME, with the full text in MEMO. Accents and symbols are reduced to plain ASCII.
Account type
Checking, savings or money market for bank accounts. Credit card statements are written as card statements instead.
Signs
Money out and card charges are negative, money in and card payments are positive.

FAQ

PDF to QBO, answered

Is this the same as the free CSV to QBO tool?
The QBO file is the same kind. The difference is the input. The CSV to QBO tool takes a spreadsheet you already have. This page starts from the PDF statement, reads the rows for you and checks them against the balances.
Which bank name will QuickBooks show?
QuickBooks takes the name from the bank ID (INTU.BID) in the file. The default, 3000, is the ID most conversion tools use. If QuickBooks refuses the file or you want a particular bank’s name, type your bank’s ID in the Bank ID box before you download.
Will importing the same statement twice create duplicates?
No. The transaction IDs (FITIDs) are built from each row’s date, amount and description, so the same statement always gives the same IDs and QuickBooks skips the ones it has. Two identical rows on one day get different IDs, so neither is dropped.
QuickBooks says it can’t read the file.
Download it again rather than opening and saving it in Excel or a text editor, which can change it. Also check that a credit card file goes into a credit card account and a bank file into a bank account.
Does it work for credit card statements?
Yes. A credit card PDF is written as a card statement, with charges negative and payments positive, so QuickBooks files it in a credit card account.
QuickBooks Desktop or Online?
Both read the same QBO file. The steps differ, and they’re listed above. There are longer walkthroughs for QuickBooks Online and QuickBooks Desktop.
Is the PDF uploaded?
No. A text PDF is read in your browser and the QBO file is built there. Nothing reaches our servers.
